Help
Quick answers for camp directors, food service staff and counters.
Getting started
How does a camp start using the app?
- Open the app and choose Start a 7-day free trial.
- Create an account with Google or an email and password.
- Fill in your camp’s details and send the request.
- W Group reviews it, usually within a day. Your free trial starts when it’s approved.
What should I set up first?
In the menu, open Settings:
- Camp info: sponsor name and LEA code, site name and address.
- Sessions & dining rooms: each session’s dates and its points of service.
- Meal schedule: meal times, and which services you claim.
- Staff access: add your staff’s emails. They get an invite by email.
Then import each session’s roster (Roster → Import roster) and plan the menu (Menu → Base menu).
Can I try it without touching real records?
Yes. Turn on Settings → Test mode. It loads a sample session, roster and menu, and anything you enter is kept apart from your real records. Turn it off to go back. Use it for staff training.
How do I put it on my phone’s home screen?
- iPhone: open the app in Safari, tap Share, then Add to Home Screen.
- Android: open it in Chrome, tap ⋮, then Install app.
Every day
How do I count meals with the tap counter?
- During a meal, open Tap counter.
- Choose the meal and your dining room, then New count.
- Tap the button for each person served: Program adults, Staff children or Resident campers. Use −1 to undo.
- Tap Done. The tally is added to that dining room’s count.
The counter stops on its own when the meal time ends and saves what was counted. Outside meal times you can run a practice count that’s never saved.
We used mechanical counters. Where do I enter the numbers?
Open Meal counts and type each dining room’s numbers. The app adds the rooms together for the day’s totals.
How do I fill in the production record?
Open Production records. Each meal lists its menu items with boxes for planned, prepared, first servings to children, served to adults and leftovers. Fill served from counts copies in the meal counts. To work on paper, print the blank form instead.
How do I print today’s forms?
On Today, tap Meal count form or Production record. A preview opens. Tap Download PDF, then print the file.
Menus
What’s the difference between the base menu and “as served”?
The base menu is your master plan. As served is what actually happened: edits, swapped days or swapped meals are saved there without changing the base menu, and are marked on the forms.
How does the meal pattern check work?
Each menu item has a component and a serving size. The app adds them up for each meal and shows a check or a cross for each requirement, with the required amount next to each item. A green dot on the calendar means the meal meets the pattern.
How do the kosher options work?
Turn on Kosher options at the top of the Menu page and pick the NYSED option your camp follows. Mark meat items as Meat (fleishig) in the menu editor so the app knows which meals the option applies to. It tracks the weekly limits and warns you if you go over.
Records & exports
How do I look at a past day or session?
Open History. Tap any day on the calendar to see its counts and open its forms, or switch to Sessions for each session’s totals.
How do I export a whole session or date range?
Open Export, choose what to include, pick a session or date range, then choose PDF or CSV.
How do I back up our records?
You don’t have to: all records are backed up automatically every day, and each backup is kept for 14 days. If something is deleted by mistake, contact W Group to restore it.
Camp admins can also keep their own copy: Settings → Backup → Download backup, for example at the end of each session. Store the file somewhere safe, such as Google Drive.
Who changed this count?
Camp admins can open Activity to see every save and deletion, who made it, and when.
Account & access
How do I add or remove staff?
Camp admins: Settings → Staff access. Add an email and choose Can edit, View only or Admin. Remove people when they leave.
I was invited but can’t get in.
- Sign in with the same email your camp added.
- Invite links can only be used once and expire. Ask your admin to tap Resend invite.
- If you created a password, confirm your email first using the link we sent.
Why is everything view-only?
Either your access is View only (ask your camp admin), or your camp’s free trial or paid season has ended. Records stay safe and can still be viewed, exported and backed up. Contact W Group to renew.
How does pricing work?
One price per camp, per season, invoiced by W Group. The 7-day free trial is free and needs no card.
