Terms of Use
Last updated October 27, 2026
Draft for the pilot program. W Group will have these terms reviewed by a lawyer before the app is offered to the public.
These terms apply to anyone who uses SFSP by W Group (“the app”), operated by W Group. By signing in, you agree to them.
What the app does
The app helps camps keep Summer Food Service Program records: rosters, menus checked against the meal pattern, meal counts, production records, and related reports and printable forms.
Not a government service
The app is not provided, approved, or endorsed by the USDA, the New York State Education Department, or any state agency. “SFSP” refers to the federal program the app supports. Program rules come from those agencies. The app’s checks, such as meal pattern and kosher option checks, are aids and may not reflect every rule or a recent change. Each camp remains responsible for following the rules that apply to it and for the accuracy of its records and claims.
Accounts and access
- Camp administrators decide who on their staff can use the app and at what level, and must remove access when someone leaves.
- Keep your sign-in details private. You are responsible for activity under your account.
- Use the app only for your camp’s program records.
Camp information
Each camp owns the records it enters. W Group stores and processes them only to provide the app, as described in the Privacy Policy. Camps must handle children’s eligibility information confidentially, as program rules require. Camp administrators can download a backup of their records at any time.
Acceptable use
Do not try to access another camp’s records, interfere with the app’s operation or security, or use the app to store information unrelated to running your camp’s meal program.
Pilot program and fees
The app is currently offered free of charge to pilot camps and may change as it is developed. W Group will give camps notice before introducing fees, and no camp will be charged without agreeing first.
Availability
W Group works to keep the app available and the records safe, but cannot promise uninterrupted service. Keep regular backups, and keep paper copies of required records during the program.
Limitation of liability
The app is provided “as is.” To the extent the law allows, W Group is not liable for indirect or consequential losses, including denied or reduced reimbursement claims, arising from use of the app.
Ending use
A camp may stop using the app at any time and may ask for its records to be exported or deleted. W Group may suspend access that breaks these terms or puts other camps’ records at risk.
Changes
If these terms change in a meaningful way, W Group will update the date above and let camp administrators know.
Governing law
These terms are governed by the laws of the State of New York.
